Events Calendar
The SAVMA calendar is regularly updated with events organized by SAVMA, student clubs, and other organizations. If you’d like to host a lunch talk, please complete the following steps:
- Prior to any SAVMA event calendar submissions, please make sure to submit all required forms prior.
- Before scheduling an event, check the SAVMA calendar to see if any events are already scheduled at that date and time. Events occurring during the lunch hour (12p-1p) are limited to two per day. Bake sale events are restricted to Mondays at lunch.
- Pick an open date (i.e. less than two lunch events scheduled, excluding bake sales). Event approvals will be limited during the Wellness Week scheduled in Spring term to focus student attention on these important topics for our SVM community. If you are interested in hosting a wellness-focused event during Wellness Week, please contact Amanda Steidlmayer to get involved.
- Prior to submitting an event request, please reserve a room/venue for the event. For events on the SVM campus, this can be done through the "Schedules" tab in VIPER.
- After reserving a room, put in a request through the "SAVMA Event Registration" form on the SAVMA website including the date, time, location, and virtual meeting link for the event, if applicable. Please apply at least 3 weeks before the date of the event. If you have concerns or questions, the SAVMA President-elect is in charge of the calendar - currently this is Clara Guirguis. Clara will be making sure that talks are added in order of requests (first come, first serve).
- All approved requests will be put on the SAVMA and SVM calendars within 3 business days (excluding holidays). You will not receive an email about request approvals, so please check the SAVMA calendar to know if it has been added/approved. If your request is denied (because of an earlier scheduled lunch talk) you will receive an email from Clara within 3 business days of your request letting you know that you need to find another date.
- Once your request has been approved and put on the SAVMA calendar, you can confirm with your speaker(s) and send announcements about the event via AggieLife and the SAVMA Newsletter.
- Submit to the SAVMA Newsletter [HERE]. If the event needs to be advertised to the entire student body, please contact SAVMA President-Elect (Clara Guirguis, [email protected]) or Webmaster-elect (Riley Elkins, [email protected]).

NEW SAVMA Newsletter!
We will be launching a weekly SAVMA Newsletter, which will be sent out every Sunday. Clubs and organizations will have the opportunity to submit announcements, events, and other information to be included in the newsletter.
You can submit your requests using the Google Form [SAVMA Newsletter Request].
Click HERE to view the current weekly newsletter, and to view past newsletters.
NEW STUDENT-BODY EMAIL REGULATIONS
All emails submitted for the school-wide mailing list will initially be paused, meaning they will remain pending until a moderator reviews them and either approves or denies the request.
If an Email Is Rejected
If moderators reject an email, the student will not see the message sent out school-wide.
Students should allow up to 3 days for their submission to be reviewed. If their post has not appeared on the school-wide mailing list after 3 days, it should be assumed that the submission was automatically rejected.
If a student would like to know why their submission was rejected, they may reach out to Clara or Riley for clarification.
Rejected Submissions
Emails will be rejected if they are:
- Officer-specific announcements, such as elections
- Club-specific events intended only for club members
- Anything related to club-specific listservs
- Events or announcements that have already been posted and should instead be included in the newsletter
- Post-event thank-you messages or feedback requests
As an alternative please refer your events announcements through the weekly SAVMA newsletter, AggieLife, or your club listserv.
Accepted Submissions
Emails may be approved if they are:
- Open and relevant to the entire school community
- A one-time announcement of an event from a club or company
- Volunteer opportunities from organizations such as Mercer, DPAW, etc. In these cases, the email may be sent up to two times.
Any questions or concerns with these new email regulations can be directed to SAVMA President-Elect (Clara Guirguis, [email protected]) or Webmaster (Riley Elkins, [email protected]).
